What are electronic initials?

Direct answer · Guide checked on 8 August 2026

In everyday usage, electronic initials are initials added visually to a digital document. They are often used to mark the pages that have been read or approved in a process. This visible mark does not, on its own, constitute an advanced or qualified electronic signature process.

Electronic signatureA concept that links electronic data to a document and can meet different levels of requirements. That a specific tool is automatically advanced or qualified.

Commercial terminology varies, but these uses should not be confused. A PDF can be initialled and visually signed while still requiring, depending on the context, a different identification process or trust service.

What are initials on a PDF for?

Initials are not always mandatory and should not be added out of habit. Read the instructions in the document first. A cover page, an appendix or a form may follow a different rule.

How Parapheo adds initials

  1. The PDF is opened locally. In the workflow where you sign yourself, the content stays in the browser.
  2. You create your initials. They can be drawn directly or provided as an image.
  3. You choose a position. The same element is placed on every page at the same relative position.
  4. You adjust the series. Moving or resizing one set of initials is applied to the others in the group.
  5. You check and export. The resulting file should be reviewed before it is sent.

The guide initial every page of a PDF details each step. For a contractual document, see also how to initial a PDF contract.

Legal limits to be aware of

The French Civil Code, article 1367 links the signature of a legal act to the identification of its author and the expression of their consent. The eIDAS regulation defines several concepts and levels of electronic signature. These sources do not allow you to conclude that visual initials automatically meet the requirements of a specific act.

Parapheo adds visible elements to the PDF and separately offers an encrypted remote request with a technical certificate. The service is not presented as a qualified signature. This page provides a general explanation, not legal advice.

Frequently asked questions

Are electronic initials a signature?

The terms are sometimes used together, but a series of visible initials does not automatically replace the final signature or a required electronic signature process.

Can I initial a document without printing it?

Yes. In Parapheo, the PDF is opened in the browser, the initials are added and a new PDF is downloaded.

Is the document sent to Parapheo?

Not in the mode where you add your initials yourself. A request sent to a third party is a different workflow: there, the document is encrypted before you deliberately transfer it.
