Initial every page of a PDF

Guide checked on 8 August 2026 · Group adjustment

To initial a PDF, import the document, create your initials, then tap a page where you want them. Parapheo places the same initials on every page. If you move or resize one copy in the group, the others follow with a consistent relative position.

Your PDF stays on your device in this workflow. Local mode processes the document in the browser. The separate “Get someone to sign” workflow, by contrast, involves deliberately sending the encrypted document.

How to add initials to every page

  1. Import the PDF. Check the number of pages and their orientation before you start.
  2. Create your initials. Draw them in the window provided or import a suitable image.
  3. Choose where they go. Tap a blank area of a page, then select the initials. The series is placed on every page at the same relative position.
  4. Adjust the group. Move or resize one set of initials in the series. The other copies in that series receive the same adjustment.
  5. Check the result. Go through the portrait and landscape pages to make sure that no clause, amount or important field is hidden.
  6. Add the final signature if it is required. Short initials and a full signature do not necessarily go in the same place or follow the same instruction.
  7. Download the new PDF. Open the exported file before sending it.

Position and size stay synchronised

The initials are positioned in proportion to each page. This avoids blindly reusing the same pixel coordinates on different formats. A landscape appendix can therefore keep a position consistent with the portrait pages.

Synchronisation applies to initials created in the same series. If you create another series for a second location, it remains independent. This separation prevents a correction at the bottom right from accidentally changing initials added elsewhere.

Initials, signature and initialled document

Initials are usually a short mark made up of the first letters of your name. In Parapheo, they are a visual element added to the PDF. The main signature is a separate action. Describing a document as “initialled and signed” therefore refers to two visible marks, and is not enough on its own to determine a legal level of electronic signature.

Limitation: visually adding initials does not automatically verify identity and does not guarantee that a particular formality has been met.

The French Civil Code, article 1367, on Légifrance describes the signature required for a legal act and, when it is electronic, the use of an identification process linked to the act. Parapheo does not present simple visual initials as an advanced or qualified signature. For an important act, follow the recipient's instructions or seek appropriate professional advice.

Frequently asked questions

Are the initials added to every page automatically?

Yes, when you use the Initials action. A series is created on every page of the document at the same relative position.

If I make one set of initials smaller, do the others shrink too?

Yes, for initials in the same series. Size and movement are synchronised. Separate series remain independent so that you do not change another location by mistake.

Can I remove the initials from a single page?

Yes. Removing a single copy is useful when a cover page or an appendix should not be initialled. Then check every page before exporting.

Is initialling enough to sign a contract?

Not necessarily. Follow the fields and instructions in the document. Initials do not automatically replace the required final signature.
